Job Overview

 The Academic Services Coordinator (AC) provides support for the IAP and Access Academic teams. The position reports to the IAP Associate Academic Director (AAD) with dotted line to the Access Assistant Academic Director (AAD). The AC works with the AADs, a partner Academic Coordinator, and the American University staff to help coordinate the day-to-day academic operations of the program, including implementation of academic policies and academic support services. In addition, the AC works with the Student Services Advisors to advise student on academic matters and course registration, helping them gain a general overview of requirements for their intended major and utilize academic support services. Lastly, the AC provides support to the academic teams in the areas of data analysis, record keeping, course scheduling, English language testing, tutoring and supplemental instruction services, and relationship building with American University.

Key Responsibilities

  • Assist with class scheduling, classroom allocation, and the day-to-day operation of the academic support services for IAP and American Access students
  • Maintain academic records and statistics for students, including progression statistics, FERPA release forms, and workshop attendance
  • Identify, hire, and train tutors, supplemental instructors, and peer-educators
  • Assist the Academic teams in areas such as student enrollment, tracking student retention, pre-arrival and post-arrival testing
  • Assist the Academic team in developing and maintaining cohort and student academic history and academic performance tracking mechanisms.
  • Develop and present workshops on study skills, plagiarism, library resources, and other academic topics
  • Assist the IAP and Access teams in any IAP and Access familiarization tours
  • Assist in the preparation and delivery of extensive academic sessions at each Fall, Spring, and Summer orientation
  • Assist with the preparation and delivery of pre-arrival math placement and post-arrival English language placement tests
  • Assist the Student Services Advisors in the registration process to ensure adherence to the IAP and Access curriculum and maximize class efficiency
  • Work closely with the academic program officers within each school and major to ensure a coordinated advising and registration process as students’ progress
  • Serve as liaison to the Advisors and lead weekly students of concern meetings
  • Assist the Managing Directors, IAP and Access
  • Other duties as assigned


  • Master’s degree, preferably in a related field
  • 3–5 years working in an academic area in higher education as an instructor or academic advisor, or experience in a registrar’s office, academic, or related department
  • Scheduling of courses, classrooms, and faculty
  • Work effectively with students one on one and in small groups to share academic and curricular information; lead workshops
  • Outstanding interpersonal skills and cultural sensitivity toward students and staff from diverse backgrounds
  • Exemplary customer service skills and professionalism
  • Excellent organizational skills and strong attention to detail
  • Strong problem-solving, decision-making, and creative-thinking skills
  • Experience working successfully with non-native English speakers
  • Ability to work in a diverse environment that requires cross-cultural awareness and understanding
  • Ability to thrive in a fast-paced environment, take initiative, and maintain a high energy level
  • Demonstrated hands-on approach to customer service and business growth
  • Diligent work ethic
  • Exceptional interpersonal, communication, and presentation skills
  • Experience with LMS and CRM software is preferred
